Assistant to the Executive Director

USAction and its sister organization, USAction Education Fund seek a full time Assistant to the Executive Director. USAction builds power by uniting people locally and nationally, on-the-ground and online, to win a more just and progressive America. We create the nation's leading progressive coalitions, making democracy work by organizing issue and election campaigns to improve people's lives. USAEF provides information, training, and technical assistance to grassroots organizations. Responsibilities:

Provide administrative support to Executive Director

  • Organize, maintain and update all executive director files (paper and electronic)

  • Maintain Executive Director's calendar, including scheduling in-person and phone meetings, making travel arrangements and/or reservations and confirming appointments

  • Take and/or transcribe notes from meetings, speeches, etc. and disseminate to appropriate staff, affiliates, etc and save in appropriate paper and electronic files

  • Assist executive director on technology matters and other administrative tasks as needed

  • Complete special projects as needed

  • Provide administrative support to the Board of Directors

  • Provide documentation of board meetings, and maintain all paper and electronic board files including meeting notes and minutes, resolutions and board members

  • Assist executive director and senior staff in planning and preparing for board meetings and board elections

  • Support the executive director in managing the schedule and travel of the board president

  • Provide administrative support to the executive director for the purposes of fundraising

  • Maintain and update the documents needed for donor cultivation including assisting the development department with funder communications and follow-up

  • Transcribe executive director's written notes, file and save communication with funders including assisting with maintenance of funder database

  • Complete trip and itinerary planning for funder meetings including all travel and on-site information required

  • Assist the development department with the creation of call sheets and help facilitate usage of the Executive Director's fundraising time.

  •  

    Qualifications:

    · Excellent organization, writing, interpersonal, and verbal skills

    · One to three years of work experience

    · Microsoft Word, Excel, Outlook, and Powerpoint experience necessary

    · Must be comfortable with fast paced work environment and the flexibility to work on a number of unrelated projects

    · Ability to work independently as part of a close knit team and with colleagues that are located off-site as necessary

    · Previous office experience preferred; previous experience with nonprofit, advocacy or political organizations helpful

    · Knowledge of donor databases and development experience preferred

    · Creative problem solving skills and ability to anticipate needs of the executive director a plus.

    Salary: Salary commensurate with experience; low to mid 30's
